Equipment hire questions, answered

Is Salesforce too big or too expensive for a hire company with 1–5 depots?

Short answer

Salesforce isn’t too big or too expensive for a UK hire company with one to five depots, as long as it’s set up for that size. The hire desk only needs quoting from its own rate cards, customer records and a live view of the numbers. Cloudtal sets that up in 4–6 weeks for a fixed £4,500–£7,500 + VAT; Salesforce licences are extra.

Why Salesforce feels like it’s built for bigger companies

Most of what a smaller hire company sees about Salesforce is aimed at large businesses: long programmes, big consultancy teams and features nobody on a three-depot hire desk will ever open. The national operators reinforce that picture. When Sunbelt Rentals UK & Ireland partnered with Salesforce in 2025, it was as part of a five-year strategy (Plant & Civil Engineer, June 2025).

That’s the enterprise version. An independent hire company doesn’t need a five-year programme to fix the problems that actually slow its hire desk down: quotes waiting on someone to check availability, repeat customers being priced differently each time, and the MD waiting for month-end to see how things are going. Those are small, specific problems, and they can be solved with a small, specific setup.

What a 1–5 depot hire company actually needs from Salesforce

  1. A quote builder that uses your own hire rate cards and duration discounts, including account-specific rates, so a hire is priced correctly the first time.
  2. Customer accounts and contacts in one place, so whoever answers the phone can see the customer’s history.
  3. Enquiry to quote in one flow, rather than notes, emails and a spreadsheet.
  4. Dashboards built around the numbers the MD wants to see, live instead of at month-end.
  5. Your existing data moved across. There’s no cap on how much.

Anything beyond that can wait until the hire desk is using the basics every day.

When Salesforce isn’t the right choice for a small hire company

It’s worth saying plainly, because it isn’t the answer for everyone:

  • You don’t quote regularly. If most work is repeat bookings at fixed rates, the gain from a quote builder is small.
  • You need your hire system connected from day one. That’s possible, but it’s a bigger project than the QuickStart and should be scoped on its own.
  • Each depot prices very differently. A fixed-price setup assumes broadly shared rate cards. Very different pricing per depot needs more work.
  • Your rental management system’s own CRM already covers what you need. If the hire desk is happy with it, don’t add a second system for the sake of it.

Common follow-up questions

Do we need someone in-house to look after Salesforce?

No. A named person on your team is trained to make day-to-day changes, and there’s an optional support plan if you’d rather not. More on this.

Can we start small and connect our hire system later?

Yes. You can start with quoting and customers, then connect Syrinx or InspHire as a second project once the hire desk is using Salesforce every day.

Do we have to replace Syrinx or InspHire?

No. Your rental management system keeps running the yard. Salesforce sits alongside it for quoting and customers. See Syrinx and InspHire.
