Salesforce for Equipment Hire / Hire QuickStart

Hire QuickStart

Salesforce set up for equipment hire, at a fixed price

The Hire QuickStart sets Salesforce up for a UK equipment hire company in 4–6 weeks, for a fixed £4,500 / £7,500 + VAT. It includes a quote builder that uses your own hire rate cards and duration discounts, so the hire desk prices a hire correctly the first time. Salesforce licences are paid to Salesforce separately.

  • £4,500 / £7,500fixed price + VAT
  • 2–4 weeksfrom discovery call to live
  • Your rate cardswith duration discounts built in
  • No replacementyour hire system keeps running the yard

Who it's for

Independent hire companies with 1–5 depots whose hire desk still prices jobs from a spreadsheet, a printed rate card or someone's memory. You want Salesforce working properly on the commercial side of the business without a long, open-ended project, and you'd rather start with quoting and build from there.

It's a good fit if:

  • quotes take longer than they should because the hire desk works out rates and discounts by hand
  • two people on the hire desk can quote the same job at different prices
  • you want a clear, fixed cost before you commit
  • you'd like to connect your hire system later, once quoting is working

What's included

A hire quote builder

Your rate cards go into Salesforce, along with the duration discounts you already use. When the hire desk picks the kit and the hire period, the price comes out right, and a longer hire is priced the way your rate card says without anyone working it out on a calculator.

Customers set up for hire

Accounts, contacts and sites / delivery addresses set up so the hire desk can see who they're quoting for and what that customer has hired before.

Enquiry to quote

One clear route from first enquiry to a sent quote, so nothing is left in someone's inbox.

Dashboards for the MD

Quotes sent, quotes won and lost, and quote value by salesperson, without waiting for a month-end spreadsheet. [Confirm exact dashboards]

Your data moved in

Customer list and rate cards imported from your spreadsheets.

Training for the hire desk

Hands-on remote training on your own rate cards and customers, not a demo account.

Support after go-live

4 weeks of support while the team settles in.

What's not included

Being clear about this up front saves an awkward conversation later.

  • Salesforce licences. These are paid to Salesforce directly. We'll tell you which licences you actually need on the first call, and it's often fewer than people expect.
  • Connecting your hire system. Linking Salesforce to Syrinx (Point of Rental) or InspHire is scoped separately, because it depends on your setup. Many companies start with the QuickStart and add the integration once quoting is working.
  • Heavily customised builds. If your pricing or processes need something unusual, we'll say so on the first call and scope it properly rather than squeeze it into a fixed price.

How it works

  1. Discovery call (30 minutes). We look at how you quote today, your rate cards and where the time goes. If the QuickStart isn't the right fit, we'll tell you.
  2. Rate card and process review. We agree exactly what goes in, so the fixed price covers a fixed scope.
  3. Build. Your quote builder, customer records and dashboards are set up in Salesforce.
  4. Test with your hire desk. The people who'll use it quote real jobs on it before go-live, and we fix what doesn't feel right.
  5. Go live and train. Training on your own data, then support while the team settles in.

Timeline: live in 4–6 weeks from the discovery call, depending mostly on how quickly rate cards and customer data can be pulled together.

What it costs

£4,500 / £7,500+ VAT, fixed

No day rates, no surprise invoices. Salesforce licences are extra and paid to Salesforce.

When the QuickStart isn't the right fit

  • You need your hire system connected from day one. Start with a scoping call instead, so the integration and the build are planned together.
  • You run many depots with very different pricing in each. That usually needs more than a fixed-scope setup.
  • You're not quoting regularly yet. If enquiries are occasional, a spreadsheet may still be enough for now. We'd rather tell you that than sell you something you don't need.

Questions worth asking

How long does the Hire QuickStart take?

Most hire companies are live in 4–6 weeks from the discovery call. The biggest factor is how quickly your rate cards and customer data can be gathered. The build itself is the predictable part.

How much does it cost to set up Salesforce for a hire company?

The Hire QuickStart is a fixed £4500/£7500 + VAT for a defined scope, including a quote builder with your rate cards and duration discounts. Salesforce licences are paid separately. Connecting a hire system such as Syrinx or InspHire is scoped on top.

Do we need to replace Syrinx or InspHire?

No. Your hire system keeps running the yard: assets, contracts and invoicing. The QuickStart sets up the commercial side in Salesforce, and the two can be connected later.

Can we connect our hire system later?

Yes. Many companies start with quoting and add the integration once the hire desk is using Salesforce day to day. See Syrinx and InspHire for what the integration involves.

Can it handle customer-specific rates?

[Confirm, then answer yes/no with the condition, e.g. "Yes. Account-specific rates sit on top of your standard rate card, so repeat customers get the price they agreed."]

Who looks after Salesforce once it's live if we have no IT staff?

[What happens after the included support period, e.g. an optional monthly support plan, or training a named person on the hire desk to handle day-to-day changes]
